AI Chatbots for Business Websites: Benefits, Costs and Limitations
The real benefits, what you actually pay for, the limitations to design around and a checklist for launching responsibly.
Modern AI chatbots are very different from the rigid, button-based bots of a few years ago. Built on large language models, they understand natural questions and can answer in a conversational way. Used well, they can improve customer service and capture more enquiries. Used carelessly, they can give wrong answers with complete confidence.
What an AI chatbot can do for your website
- Answer frequent questions instantly, at any hour, from your own approved content.
- Capture enquiries outside business hours, collecting the details your team needs to follow up.
- Guide visitors to the right service, product or page.
- Hand the conversation to a person when a question is complex, sensitive or out of scope.
What drives the cost
Costs vary widely with scope, so it is more useful to understand what you are paying for than to rely on a single number:
- Setup: planning, preparing your content, building the assistant, integrating it with your website and testing it.
- Platform or hosting: a chatbot platform subscription, or hosting for a custom build.
- AI usage: most AI APIs charge per amount of text processed, so costs rise with the number and length of conversations.
- Integrations: connecting to your CRM, booking system or WhatsApp adds work, and sometimes subscriptions.
- Maintenance: updating answers as your business changes and reviewing conversations to improve quality.
Limitations to plan for
- Hallucinations: AI can invent plausible but wrong answers. Ground it in your own content and tell it to say "I don't know" and hand over when unsure.
- Out-of-date information: if prices or policies change and the bot is not updated, it will repeat old information.
- Sensitive topics: medical, legal, financial and complaint conversations should go to a person.
- Privacy: decide what data the bot may collect and where conversation logs are stored.
- Customer expectations: be clear that visitors are talking to an AI assistant.
A checklist before you launch
- Define the questions it should answer, and the ones it must hand over.
- Write or collect clear, current source content for it to use.
- Test it with real customer questions, including awkward and off-topic ones.
- Set up an easy route to a human: a form, WhatsApp or a callback.
- Review conversations regularly in the first weeks and refine.
