"AI agent" has become one of the most used terms in technology, often for things that are really chatbots. The difference matters, because agents can take actions in your systems, which brings more value and more risk.

What a chatbot does

A chatbot holds a conversation. It answers questions, explains things and collects information, usually from content you provide. It does not change anything in your business systems by itself; at most it passes information on, for example by creating an enquiry for your team.

What an AI agent does

An AI agent works towards a goal by taking steps on its own: looking things up, using tools such as your CRM, email or spreadsheets, and deciding what to do next based on the results. For example, an agent might research a new lead, draft a personalised reply and update the CRM record, then wait for a person to approve the email.

How to choose

  • Choose a chatbot when the main need is answering questions and capturing enquiries.
  • Choose an agent when a well-defined, multi-step task repeats often and follows clear rules.
  • Choose simple automation (no AI) when the steps are fixed and need no judgement. It is cheaper and more predictable.

Safeguards agents need

  • The minimum permissions needed for the task, nothing more.
  • Human approval before anything consequential: sending, paying, deleting or publishing.
  • Logs of every action so you can see what happened and why.
  • Limits on spending, volume and retries, plus alerts when something fails.
  • Testing with realistic scenarios, including what should happen when information is missing or wrong.

The practical answer for most businesses

Most businesses get the best return by starting with a well-built chatbot or a single automated workflow, then adding agent-like steps where a process is clearly defined and the safeguards are in place. Starting small makes it easy to measure value before investing more.
